AI Disclosures & Additional Terms

How we deploy AI in Cash Flow Optimizer, what it can and cannot do, your rights and responsibilities, and the additional terms that govern AI-powered features.

These AI Disclosures and Additional Terms ("AI Terms") apply to your use of any AI-powered feature within Cash Flow Optimizer, operated by RealtoResource, LLC dba Solidify Solutions. They supplement and are incorporated into our Terms of Service. Capitalized terms not defined here have the meanings in the Terms of Service.

Part I — Disclosures

1. What AI Does in This Platform

Cash Flow Optimizer uses artificial-intelligence and machine-learning features to help you analyze your business's financial data, identify trends, generate forecasts, draft communications and reports, categorize transactions, and surface insights from your connected data sources. These features are tools to support your decision-making — they do not replace your professional judgment, your accountant, your attorney, or any other qualified professional.

AI-generated content in the platform — including analyses, forecasts, and drafted text — is produced automatically. It may contain errors, inaccuracies, or omissions. You are always responsible for reviewing, verifying, and deciding whether to act on any AI-generated output.

2. AI Models We Use

We currently use AI models provided by Anthropic (Claude), Google (Gemini), and OpenAI (GPT series), depending on the feature. The specific models we use may change as these providers release updates, as we evaluate performance, or as our platform evolves. We will update these disclosures when we add material new AI providers.

Each AI provider operates under its own terms of service and privacy policy. Our use of these providers is governed by our agreements with them, and your data is handled in accordance with our Privacy Policy and Data Processing Addendum.

3. How AI Uses Your Data

When you use an AI-powered feature, the data you provide as input — including your financial data, text prompts, and any other content you submit — is sent to the applicable AI model provider for processing and returned to you as output. We do not permit our AI providers to use your data to train their foundational models. See Section 19 for additional details.

We may process AI inputs and outputs for the purpose of providing and improving the Services, detecting abuse, and ensuring compliance with these terms, as described in our Privacy Policy. We implement technical safeguards to limit what data is sent to AI models and to prevent sensitive data from being transmitted unnecessarily.

4. AI Output Limitations

You should be aware of the following inherent limitations of AI systems:

  • AI can be wrong. Models can generate plausible-sounding but inaccurate, outdated, or fabricated information — a phenomenon sometimes called "hallucination." Always verify material outputs independently.
  • AI does not know your full business context. The model sees only what you provide in a given session. It does not have access to information you have not shared, and it may lack the broader context needed to give fully tailored advice.
  • AI reflects training data. Outputs may reflect biases, assumptions, or outdated information present in the model's training data, even where the platform's underlying financial data is current.
  • AI is not real-time. AI models have a knowledge cutoff date. Regulatory changes, tax rates, accounting standards, market conditions, and other time-sensitive information may not be reflected.
  • AI output is probabilistic. The same prompt may generate different answers at different times. AI features are not deterministic calculators.

5. No Professional Advice

Nothing generated by Cash Flow Optimizer's AI features constitutes accounting, financial, tax, legal, investment, employment, or other professional advice. AI-generated analyses, forecasts, recommendations, and drafted documents are starting points for your own review and decision-making, not final guidance. For decisions with material financial, legal, or regulatory consequences, consult a qualified professional.

Part II — Additional Terms

6. Incorporation

These AI Terms are incorporated by reference into the Cash Flow Optimizer Terms of Service. In the event of a conflict between these AI Terms and the Terms of Service regarding AI features, these AI Terms control. All other rights and obligations in the Terms of Service apply to your use of AI features.

7. Permitted Uses of AI Features

Subject to these AI Terms and the Terms of Service, you may use the AI features to support your own lawful, internal business purposes — including analyzing your own financial data, drafting internal and external business communications, generating reports, and other uses contemplated by the Services. You may share AI-generated outputs with third parties (such as accountants, lenders, or clients) as part of your normal business operations, provided you take responsibility for the accuracy and appropriateness of those outputs as described in Section 10.

8. Prohibited Uses of AI Features

You will not use the AI features to:

  • generate or distribute false, fraudulent, or misleading financial statements, reports, forecasts, or representations to lenders, investors, regulators, auditors, or others;
  • create content that is defamatory, harassing, discriminatory, obscene, or otherwise unlawful;
  • infringe any third party's intellectual-property rights;
  • attempt to reverse-engineer, extract, or copy the underlying AI model or its weights;
  • use outputs to develop, train, or benchmark a competing AI or financial-software product;
  • automate decisions with material legal or financial effects on natural persons without appropriate human review; or
  • violate any applicable law or our Acceptable Use Policy.

9. Prohibited Inputs

You will not submit to any AI feature:

  • Protected Health Information (PHI) as defined under HIPAA;
  • payment-card data covered by PCI DSS;
  • Social Security Numbers, government-issued ID numbers, or similarly sensitive personal identifiers in bulk;
  • information you are prohibited by law or contract from sharing with third-party processors; or
  • personal data about individuals without a lawful basis and, where required, appropriate notice and consent.

We implement reasonable technical safeguards, but you are ultimately responsible for what you submit to AI features. If you believe you have accidentally submitted prohibited data, contact us immediately at privacy@cfoptimizer.com.

10. Your Responsibility for AI Outputs

You are solely responsible for: (a) reviewing and verifying any AI-generated output before acting on it or sharing it; (b) obtaining any required professional review before using AI outputs in regulated contexts (e.g., tax filings, audited financial statements, legal documents); (c) all decisions you make based on AI-generated content; and (d) ensuring AI outputs comply with applicable laws before you use or distribute them. We are not responsible for any loss, liability, or damage arising from your reliance on AI-generated output without appropriate review.

11. No Warranty on AI Output

AI features are provided "as is" and "as available." To the fullest extent permitted by law, we disclaim all warranties — express, implied, or statutory — with respect to AI-generated outputs, including warranties of accuracy, completeness, fitness for a particular purpose, and non-infringement. We do not warrant that AI outputs will be error-free, up-to-date, or suitable for any particular use.

12. Limitation of Liability

To the fullest extent permitted by applicable law, and in addition to the limitations in the Terms of Service, we will not be liable for any loss or damage arising from your use of, or reliance on, AI-generated outputs, including direct, indirect, incidental, consequential, or punitive damages, even if we have been advised of the possibility of such damages. This limitation applies regardless of the theory of liability (contract, tort, negligence, strict liability, or otherwise).

13. Third-Party AI Model Providers

Our AI features depend on services provided by third parties (currently Anthropic, Google, and OpenAI). We are not responsible for the acts or omissions of those providers, including any service interruptions, output errors, changes to their models, or changes to their terms. Use of these providers' services is subject to their respective terms, which may impose additional requirements on how outputs are used or disclosed.

14. Audit, Logging, and Monitoring

We may log AI feature inputs and outputs for abuse detection, safety monitoring, quality improvement, and legal compliance. Logs are subject to our Privacy Policy and retained for a reasonable period. We may review logs where we have reason to believe a violation of these terms has occurred.

15. Feedback on AI Features

If you provide feedback on AI features — ratings, comments, corrections, or suggestions — you grant us a non-exclusive, royalty-free, worldwide, irrevocable license to use that feedback to improve the Services and AI features, without compensation to you. Feedback you provide does not include your underlying business data.

16. Suspension of AI Access

We may suspend or restrict your access to AI features, without prior notice, if we determine you have violated these AI Terms, if we are required to do so by an AI provider or applicable law, or if continued access poses a risk to the platform, other users, or third parties. We will endeavor to notify you promptly and work with you to restore access where the issue can be resolved.

17. AI and Regulatory Compliance

AI regulations are evolving rapidly. We monitor applicable developments and will update our AI features and these terms as needed. You are responsible for understanding how AI-generated content is regulated in your industry and jurisdiction — for example, requirements to disclose AI involvement, prohibitions on fully automated decisions with legal effects, or special rules for AI in financial services.

18. Export Controls

AI technologies may be subject to export-control laws. You will not use or permit access to AI features from embargoed countries or by restricted parties, as further described in our Terms of Service and in accordance with applicable U.S. export-control regulations.

19. No Training on Your Data

We contractually require our AI model providers to not use your content — the data you input into AI features — to train their foundational AI models. If we enter a relationship with a new AI provider that does not offer this protection as a default, we will obtain the appropriate contractual commitments before routing your data to that provider, or we will provide you with clear notice and a meaningful opt-out before doing so.

20. Future AI Features and Providers

We intend to expand our AI capabilities over time. New AI features or providers may be added under these AI Terms; we will update the disclosures in Part I when we add providers that materially affect how your data is used. Your continued use of new AI features after their launch constitutes agreement to these AI Terms as applicable to those features.

21. Changes to These Terms

We may update these AI Terms from time to time to reflect changes in our AI features, providers, applicable law, or industry standards. When we do, we will update the "Last Updated" date and, for material changes, provide additional notice. Your continued use of AI features after the effective date of an update constitutes acceptance of the revised terms.
